Basic users can only share their notes with other teammates.
Pro and Business users can share their notes with any user.
Share your notes with other users to collaborate and work together in real time. You can share a note with an unlimited number of users. Business users can also assign read-only, comment-only or editing privileges to protect their data and work together more effectively.
Only notes can be shared. If you'd like to share a page, you'll need to share the note which contains it. This means that sharing a note will automatically share all of its pages. To share an individual page, you'll first need to move (or duplicate) it into another note. Learn more about note hierarchies.
Share a note
- Open any note.
- Click the Share button in the top-right corner of the note editor.
- Click Add.
- Enter the e-mail address or username of each user you'd like to invite. Alternatively, enter the name of a user group in your team.
- Press Share.
- (Business-Users only) Click on the role next to your invitee's name to choose a role for that user.
- Click the Share button. Your invitees will receive an e-mail invitation to access your shared note and the note will immediately appear on their dashboard. (Important: You do not have to add the person to the team. If you add a person to the team in the last step, additional license costs will be charged! Learn more.)
Roles and Permissions (Business Users Only)
Each role (Content Manager, Contributor, Commenter, Viewer) comes with its own set of access/editing privileges. To learn more about roles and permissions in Note, visit our dedicated article here.
Manage access to your Note
You can view and manage which users have access to a note from the Sharing window - accessible via the left sidebar:
- Open any note.
- Hover your mouse over the note header.
- Click the ellipsis (...) which appears.
- Select Sharing from the drop-down menu.
- In next window, you'll see a list of users who have access to your note.
- To revoke access to your note, hover your mouse over the user's name and click the X.
- To edit a user or user group's access privileges, click their current role (e.g. Viewer, Commenter, Contributer, Content Manager) and select a new option from the drop-down menu. Learn more...
- To share the note with the entire team, toggle the switch and choose a role.
Request access and get permission to open a note
If you can't open a note, you may not have permission. In this case, you'll see a message that says “You don't have access to this note.”
If you try to open a note that you don't have permission to open, it's easy to request access.
To get permission to open a note:
- Copy and paste the note's link into a browser.
- On the “Request access to note” page, click Request. The note's Content Manager will review your request and either approve or deny it.
- If your request is approved, you'll receive a notification and will be able to access the note. (If your request is denied, you will not receive a notification.
Important notes
- Please note that you can only request access once in each note. If your access request was denied or not processed, and you would like to request access again, you will need to contact the note's content manager yourself, e.g. in an email.
- You can only request access to private notes owned by your team. Team notes are automatically shared with all team members. You cannot use this feature to request access to notes owned by someone outside your team. To request access to these kinds of Notes, please contact the Content Manager of the note directly.
- The Request access to note feature is only available in the web version of MeisterTask. It is not available in the MeisterTask iOS and Android apps.
- Users whose access has been approved are given read-only permissions. Content Managers can change the permission settings at any time and give users editing access.
- If you don't see the Request access to note feature, then it is not available. This feature is not available if:
- You have already requested access. You can only request access to a note once.
- If the note is not owned by your team member, but by someone outside of your team, then this feature is not available.
Approve or deny requests to access a note
Other users with the link to your note can request access to view your note.
If you have the Content Manager role in a note, you can:
- See who has requested access to the note.
- Manage pending requests by approving or denying them.
To accept or deny an access request:
- Open the note.
- Click on the three dots to open the Sharing dialog.
- Click Approve to allow the user to view the note. Or click Deny if you don't want this person to view the note. (Users whose access has been approved are given read-only permissions.)
Important notes
- Please note that if you reject a request, the user won't be able to request access again.
- Accepting or rejecting a request is only possible on the web and not on the iOS and Android apps of MeisterTask.
